What Is Google Workspace?

Google Workspace is a cloud-based productivity suite from Google that provides all the tools businesses require to run smoothly under one roof. It includes email, shareable calendars, cloud storage, video meetings, chat apps where team members can collaborate, and much more.

With Google Workspace integrated with your website builder package, all of your files and information are stored in the cloud, along with your tools and applications. All you need to get to work is an internet-enabled device and a connection. You can connect from anywhere, at any time, on any device.

What Comes With Google Workspace?

Google Workspace comes with a world-class set of tools that can help elevate your business regardless of the size. Here are the applications you’ll have access to:

1. Gmail

Gmail is the most popular email service in the world, and for good reason. It is an easy-to-use application that provides customizable email and a minimum of 30GB of storage for each account. It also includes powerful email searches, instant messaging, and advanced spam filters.

2. Google Calendar

Managing time productively is crucial for any business. Google Calendar works seamlessly across devices, allowing you to create and share calendars, and schedule client appointments. Plus, it can integrate with third-party tools like Zoom, Slack, etc.

3. Google Drive

Data is one of the most valuable assets for small businesses, and Google Drive ensures it’s securely stored and easily accessible. With cloud storage, your files are always accessible, whether in the office or working remotely. Share files or folders with specific team members or external clients while controlling who can view, edit, or comment on them.

4. Google Docs, Sheets, and Slides

Google Docs, Sheets, and Slides are powerful productivity tools for businesses that rely on documents, spreadsheets, and presentations. These tools allow for simultaneous collaboration, meaning multiple users can edit the same document at the same time. If a mistake is made, Google Docs, Sheets, and Slides keep detailed version history, allowing you to revert to earlier drafts.

5. Google Meet

In today’s business landscape, video conferencing is essential, especially for remote teams or virtual client meetings. Google Meet allows all video calls to happen directly in the browser, making it easier for clients or partners to join meetings without installing additional software. Depending on your plan, you can host video meetings with up to 500 participants, ideal for webinars or large team meetings.

6. Google Chat

Google Chat is designed to keep your team connected and informed. Quickly communicate with team members in one-on-one conversations or create dedicated spaces for group discussions. Google Chat integrates with Google Drive, making sharing documents or files easier during conversations.

7. Google Forms

Google Forms is an intuitive tool for creating surveys, feedback forms, and polls. Use templates to create surveys that match your brand, track responses instantaneously, and automatically organize the data in Google Sheets.

Why Upgrade to Google Workspace?

Small to medium business owners constantly juggle multiple tasks—from managing communications to ensuring team productivity and collaboration. Google Workspace offers a comprehensive solution to help businesses streamline their operations.

Whether you want to promote collaboration, boost productivity, or upgrade customer interactions, Google Workspace can make a big difference. Here are some of the top features that come with your account:

  • A professional email address @yourdomain.com
  • Massive amounts of storage with 30GB and 2TB
  • Enhanced reliability with emails residing in a separate cloud location
  • Seamless collaboration with tools like Google Meet and Google Chat
  • Advanced spam filtering and anti-malware protection
  • Access your email, calendar, and documents from any device, anywhere

Need more incentive? Google’s statistics enable companies to reduce their spam by 30%, while the suite’s included tools can shave more than 17,000 hours a year in employee productivity.

Take Your Business Email Accounts to the Next Level

Every growing business needs a professional communication channel to handle the daily email traffic that comes with building a business. Gmail for Business offers all the familiar features of personal Gmail but with additional benefits tailored for professional use.

While cPanel email accounts offer excellent functionality for tweaking your website files and basic email management, they might not be cutting it for your growing businesses. cPanel is great for personal use; however, the space used to store these emails is counted toward your account storage. For growing businesses, this is a no-go, and upgrading to a Google Workspace account comes with more features and benefits for a more complete work setup.

Here are some of the benefits of setting up your business email with Google Workspace:

  • Custom Domain Email: You can create email addresses using your company’s domain name (e.g., [email protected]), which builds trust with your clients.
  • Advanced Security Features: Anti-spam, phishing protection, and enhanced encryption ensure your business data stays secure.
  • Convenient Offline Access: You can read and compose emails even offline, making it easy to work from anywhere.

Frequently Asked Questions

How does Google Workspace actually work?

Google Workspace accesses and fully draws upon the power of cloud computing. All your files and data, including emails, calendars, and presentations, are stored in the cloud, as are your software tools and applications. All you need is an internet-enabled device and a connection.

Will you help me migrate my existing emails and files to Google Workspace?

Yes, our certified Google Workspace experts will help you get up and running smoothly. You can also opt to use our migration services if you want to migrate your existing email and/or documents and files from another product you use.

How does Google Workspace pricing work?

All fees are paid monthly on a “per user” basis whether you opt for the 50% discount on the annual Commit plan or the free trial for the monthly Flex plan. A “user” is defined as one email account (as opposed to one domain) with one personalized email address ([email protected]). Group email aliases, such as [email protected] and [email protected], are included in your Google Workspace pricing and don’t count as additional users.

How to set up Google Workspace?

Once you’ve determined how many users you need and the domain name you’d like to use for Gmail, you can start using the platform in a matter of minutes.

I have multiple companies with different domain names. Can I manage Google Workspace for them from one administrator account?

Yes. As long as you own all domain names, you can associate up to 600 internet domains with your Google Workspace accounts.

Although each domain will remain independent, Google Workspace will recognize them as part of one umbrella account or organization. All the domains will be administered using the same Google Workspace administrator control panel. Even though each domain has a separate set of user accounts, users belonging to any of the domains can share calendars and documents.

How does Google protect my business from spam and viruses?

Google has one of the best spam blockers in the business, and it has integrated it into Google Workspace. Spam is automatically purged every 30 days. There is built-in virus checking and enforced document checking before allowing users to download any message.

Where does Google store my data?

Your data is stored in Google’s network of geographically distributed data centers. Google’s computing clusters are designed with resiliency and redundancy, eliminating any single point of failure and minimizing the impact of common equipment failures and environmental risks. Access to data centers is limited to select Google employees and personnel.
